TRUST CENTRE

Regulated, supervised and built for the checks that matter.

Providing registered offices and forming companies is regulated activity. This page sets out who supervises us, how we verify every client, and how we run the buildings your company calls home – with the register numbers you can check for yourself. All three registrations appear in the footer of every page on this site.

Who stands behind us

Three public registers, three numbers, all checkable today.

Every planUnlimited mail scanning

Every letter, on every plan, scanned to your dashboard – no per-item fees, no monthly cap.

RegulatedHigh-tech, compliant company formation

Filed by an Authorised Corporate Service Provider through our direct Companies House connection, with identity checks to the Companies House standard.

One teamEverything done in-house

Phone numbers, mail scanning, websites, email and cloud drive – built and run by our own team, never handed to a third party.

HMRC-supervised TCSPXLML00000218127

Supervised by HMRC for anti-money-laundering purposes as a Trust or Company Service Provider – the supervision regime for firms that form companies and provide registered offices.

Companies House ACSPAP021384

An Authorised Corporate Service Provider – the Companies House authorisation that lets us file incorporations and verify identities directly with the register.

ICO-registered controllerZC087196

Registered with the Information Commissioner’s Office as a data controller. What we hold, why we hold it and your rights are set out in our privacy policy and DPA.

ICA-certified complianceICA CERTIFIED

Our compliance lead holds an International Compliance Association certification in anti-money laundering – the checks are designed and run in-house, not outsourced blind.

How our identity verification works

Every director passes a chip-and-likeness check before a company is filed or an address goes live. Four steps, run in minutes, reviewed by humans when anything is unclear.

1Document capture

Government-issued photo ID is captured and, where the document carries one, the chip is read cryptographically – not just photographed.

2Biometric likeness match

A live face scan is matched to the document, with liveness detection to defeat photos, masks and replays.

3Fraud & sanctions screening

Screening runs against global watchlists, and sanctioned-country checks are always on. Fails and inconclusive results drop to our human compliance queue – nothing proceeds on a maybe.

4Personal code issued

Verified directors receive their Companies House personal code through us as an ACSP – the credential the Economic Crime and Corporate Transparency Act 2023 regime is built around.

We are straight about what this means: we turn business away when we cannot verify it. That is the point – it is why our buildings stay clean and our clients clear bank onboarding first time.

The buildings & your data

Three named buildings, run by us

The Courtyard, The Annexe and The Exchange at Vaulex House, Woodland Place, Penarth CF64 2EX are our own staffed premises with our own mailroom – each individually listed on the Royal Mail Postcode Address File.

Occupancy strictly capped

We cap occupancy at every building, so your company is never one of tens of thousands sharing a mass-registration address that banks and HMRC see straight through.

Verification is the gate

Every plan starts with biometric identity checks on every director, completed before any address goes live. It filters out the throwaway registrations that get shared addresses blacklisted.

Statutory AML retention

Anti-money-laundering law requires us to keep verification records for the statutory period after a relationship ends. What we keep and for how long is set out in the AML policy and DPA.

Card payments, handled properly

Payments are processed by a PCI DSS-compliant gateway. Your card details never touch our servers, and there is nothing hidden at the checkout – the price you see is the price you pay.

No hidden fees, ever

No per-letter scanning meters, no renewal escalators, no exit fees. One set monthly fee that never rises at renewal, and cancelling takes a click, not a phone call.

Straight answers

Who actually regulates a company formation agent?
Two bodies matter. HMRC supervises firms like ours for anti-money-laundering compliance as Trust or Company Service Providers – our supervision number is XLML00000218127. Companies House separately authorises agents to file and verify identities as Authorised Corporate Service Providers – we are ACSP AP021384. Both registrations are public and checkable.
Why do you insist on biometric identity checks?
Because the Economic Crime and Corporate Transparency Act 2023 requires identity verification for directors and people with significant control – and because checks are what keep a shared address clean. Every director is verified before we file, and verified directors receive their Companies House personal code through us.
What happens if a check fails?
The case drops to our human compliance queue and nothing proceeds until a person has reviewed it. Where we cannot verify a client, we do not take the business. That protects every other company at Vaulex House.
Are the buildings real, or a PO box with a nice name?
The Courtyard, The Annexe and The Exchange are three separate buildings at Vaulex House, Woodland Place, Penarth CF64 2EX – our own staffed premises with our own mailroom, each individually listed on the Royal Mail Postcode Address File. Type the postcode into a bank onboarding form and your building appears in the list.
Who can see my home address?
On any monthly plan, your registered office and director service address are at Vaulex House, so your home address stays off the public register. Mail comes to us, is scanned without limit, and originals are forwarded only when you ask.
What do you do with my data?
We are the data controller for your account and a processor for the mail we handle on your instructions. The full picture – what we hold, why, for how long, and your rights – is in our privacy policy and data processing agreement. We do not sell client data.
You are new. Why should I trust you with my company?
Because we did the hard part first. The HMRC supervision, the Companies House authorisation, the ICO registration and the buildings were in place before we sold a single company – all four are on public registers you can check today. Vaulex House is 6,000 square feet at Woodland Place, Penarth, on our own lease, with our own mailroom team. The software your company runs on was built by our own developers. And the founder still answers the phone.
What happens if the two-hour promise is missed?
That month’s 2-Hour Priority fee is refunded – not a credit note, the fee. The clock on every item runs from the arrival time at the building, so you can see it for yourself.
What happens to a parcel over the limit?
It is held and you are told the same day. Dispatch is quoted before it goes, and anything hazardous, perishable or unsafe to hold is refused at the door and you are told why.
Can I download everything, and what happens to my documents if I cancel?
Every scan and every company document can be downloaded from your dashboard at any time. When you cancel, you choose: delete your scans the day the service ends, or keep them to read and download for 12 months. Originals still held are available for 30 days to collect or have forwarded. Identity records are kept for the period the law requires and then destroyed.
Is the shared folder logged? Can I revoke it instantly?
Yes and yes. A shared login sees the folders you chose and nothing else, read-only. Every open of every document is written to the audit trail with who and when. Change the folders or remove the login from your Team page and it takes effect at once.
Who inside Vaulex Group can see my post?
The mailroom team who open and scan it, and the person handling a request you have raised. Identity documents are held apart, visible only to the compliance reviewer, and every open is logged – including ours.
Is any of the service subcontracted?
No. Buildings, mailroom, scanners, dashboard and software are Vaulex Group’s own. The landline, email, website and cloud drive in some plans are delivered by a sister company under the same ownership.
What happens to my mail if your systems go down?
It is physical post: it is still delivered, opened and held in the building. Scanning catches up when the system returns, and priority items are measured from arrival, not from the scan.
What would happen if Vaulex Group ceased trading?
A registered office cannot simply disappear. We would give every client written notice, file the change of registered office to an address of their choosing at no charge, keep the Mailroom open to download for the notice period, and post on any originals at cost. We say this because nobody else in this market will put it in writing.
